About the position

The Executive Assistant will support the DoD Chief Information Office (DoD CIO) by managing administrative tasks such as calendar scheduling, correspondence management, and workload prioritization. This role is crucial for ensuring the smooth operation of the OSD mission through effective communication and organizational skills.

Responsibilities

  • Assist government personnel with administrative systems, file systems, records management, and read-ahead binders.
  • Manage calendar and schedule to adjust for short notice changes and/or higher priority tasks.
  • Handle operational duties related to human resources, IT, security, and facilities management.
  • Answer and route phone calls and greet/escort guests.
  • In-process new personnel (DD1172, DD2249, DD2875).
  • Request and manage all government-furnished equipment for new employees.
  • Oversee suite access, SCIF maintenance, and burn bag destruction.
  • Resolve IT and network issues.
  • Off-board departing personnel.
  • Review correspondence documents to the appropriate offices and/or personnel for response through the Correspondence and Task Management System (CATMS).
  • Develop, monitor, update, implement, and maintain an internal suspense tracking system for correspondence, memos, letters, and other documents and projects received.
  • Adhere to DoD 5110.4-M Vol 1 and Vol 2 for written material management.
  • Perform other duties as assigned.

Requirements

  • Bachelor's degree plus at least 5 years of related experience or HS Diploma with at least 9 years of related experience.
  • Top Secret clearance with SCI required at date of hire.
  • Demonstrated expert level knowledge and execution of the English language for the formulation of all DoD correspondence mediums (e.g., email and memos).
  • Demonstrated experience supporting in an Office of the Secretary of Defense (OSD)/Joint Staff/Interagency environment.
  • Knowledge of the structure and missions of the OSD and the Components.
  • Demonstrated high proficiency with the Microsoft Office Suite of applications, especially Word, PowerPoint, and Teams.

  • Demonstrated experience and ability to work in a fast-paced team environment, adapt to rapidly changing requirements, and multi-task capabilities.
