Responsibilities

  • Providing support to the CEO and Executive Team, managing strategic planning deliverables, communications, and confidential materials.
  • Coordinating meetings, travel, agendas, and follow-ups while overseeing internal announcements, TV screen monitors and presentations.
  • Supporting internal and external communication strategies, including branding, PR, customer appreciation, and promotional materials.
  • Assisting with press releases, newsletters, company updates, and customer initiatives.
  • Helping coordinate sponsorships and managing sporting event tickets.
  • Assisting with branding merchandise, including ordering-distribution for promotional and recognition purposes.
  • Supporting HR and Executives with the coordination on employee programs that promote well-being, company values, recognition, and fun activities.
  • Assisting HR and Executive Leadership in developing internal employee engagement activities to foster a positive and productive workplace.
  • Overseeing building management, ensuring office facilities, maintenance, and cleanliness are properly managed.
  • Acting as the primary point of contact with Executive Hills, external contractors and other service providers.
  • Maintaining a centralized vendor contract database, tracking contract start and end dates, renewal deadlines, and termination clauses.
  • Creating a checklist for each vendor outlining deliverables, service level agreements (SLAs), and key milestones.
  • Providing administrative support to the CFO, including tracking corporate resolutions, officers' approvals, Board relations, calendar invitations, presentations logistics, and agenda tracking for Board, Audit, and Risk Committee meetings.
  • Overseeing the front desk receptionist, ensuring a professional and welcoming environment for visitors, clients, and employees.
  • Assisting with ordering food, catering, scheduling, travel, and meeting logistics.
  • Organizing events, offsites, and team-building activities.

Requirements

  • Bachelor's degree or equivalent experience in business management, communication, marketing, or related.
  • Proven experience as an Executive Assistant, Marketing Coordinator, Office Manager, or in a similar role.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
  • Experience and understanding of internal/external communications, branding, and public relations (preferred).
  • Experience managing third-party vendors and external service providers (preferred).
  • Familiarity with corporate governance and other related business documents (preferred).
