About The Position

The Executive Assistant (EA) at HSBC plays a crucial role in providing administrative support to executives, ensuring efficient management of their schedules, travel arrangements, and various administrative tasks. The EA will exercise confidentiality and diplomacy while coordinating activities and managing relationships with internal and external stakeholders. This position requires multitasking in a fast-paced environment and the ability to prioritize tasks effectively.

Requirements

  • At least 5 years of experience working with various level managers and executives in an administrative capacity.
  • University degree or equivalent.
  • Advanced knowledge in MS Office and calendar/meeting management.
  • Experience in travel booking and itinerary management.
  • Excellent written and oral communication skills.
  • Ability to anticipate executive needs and operate independently.
  • Excellent organizational skills and attention to detail.
  • Knowledge of various computer applications including Teams, SharePoint, and Zoom.
  • Ability to deal with all levels of personnel in a courteous and efficient manner.
  • Excellent customer service, resourceful and problem-solving skills.

Nice To Haves

  • Experience working in the financial services industry is preferred but not required.

Responsibilities

  • Manage executives' schedules and maintain calendars.
  • Arrange travel and accommodation for executives.
  • Prepare expense statements and perform various administrative duties.
  • Coordinate activities, events, resources, and meetings.
  • Manage internal and external stakeholders effectively.
  • Support administration by composing presentations and drafting reports.
  • Assist with key documents such as business plans.
  • Manage external relationships and service providers.
  • Adhere to HSBC policies and maintain confidentiality on sensitive information.
  • Multi-task in a fast-paced environment and prioritize tasks based on urgency and importance.
