About The Position

The Executive Assistant at Stanford University plays a crucial role in supporting the Vice Provost for Academic Affairs by managing a wide range of administrative tasks. Requirements

  • Bachelor's degree and seven years of relevant experience or a combination of education and relevant experience.
  • Extensive high-level administrative experience supporting executive-level individuals.
  • Excellent verbal and written communication skills, including editing and proofreading.
  • Strong planning and organizational skills with the ability to handle sensitive issues and maintain confidentiality.
  • Ability to cultivate positive working relationships with internal and external constituencies.
  • Demonstrated professionalism, flexibility, discretion, judgment, and diplomacy.

  • Familiarity with university administrative processes and structures.

Responsibilities

  • Coordinate the Vice Provost for Academic Affairs' activities, including managing a complex calendar and travel arrangements.
  • Independently prioritize and oversee logistics for meetings and conferences with internal and external parties.
  • Serve as the Vice Provost's liaison, screening correspondence and keeping the Vice Provost informed of important matters.
  • Compose correspondence and develop, review, and edit presentations and documentation.
  • Oversee and manage multiple projects, tracking critical dates and ensuring deadlines are met.
  • Organize and maintain the workings of the Vice Provost's office, including filing systems and pertinent information.
  • Direct staff to perform various tasks and assignments, and may supervise staff.
