About the position

Executive Assistant typically supports multiple individuals and/or locations in performing advanced administrative work that requires highly specialized skills and knowledge and a higher degree of independent decision-making, confidentiality acumen, and personal initiative. The position plays a major role in coordinating the primary functions or activities of an administrative department or unit, or of a special program. This position serves as administrative liaison with internal staff personnel customers, vendors and contacts outside the department.

Responsibilities

  • Performs work of a confidential nature and appropriately exercises initiative and discretion as necessitated by the situation.
  • Screens incoming calls and routes calls to appropriate individuals.
  • Schedules and coordinates meetings, appointments and travel.
  • Creates meeting agenda and distributes information to all parties who should receive it.
  • Collects information needed for reports and meetings.
  • Performs word-processing to generate reports, correspondence and memoranda for department personnel.
  • Responsible for the integrity of outbound correspondence.
  • Prepares and produces routine and specialized reports, using judgment for format layout.
  • Provides ad hoc analysis as needed.
  • Creates graphs and charts for various projects using spreadsheet software.
  • Coordinates the efficient operation of the office by generating and maintaining confidential and general files, ordering supplies, maintaining manuals, and performing all other relevant duties.
  • Researches, prepares and edits reports and presentations.
  • Maintains department personnel files, including copies of employee performance appraisal forms, accumulative vacation records, attendance records, etc.
  • Assures that all assigned projects are completed in a timely and efficient manner and that follow-up is done on all administrative details.
  • May provide day-to-day oversight and leadership to staff members in a lesser grade.
  • Performs other duties as assigned.

Requirements

  • High School Diploma or GED required.
  • AA degree or two years college preferred.
  • 5+ years of increasing responsible administrative work experience that provides the incumbent with comprehensive knowledge of the principles, concepts, methodology, skills, technical methods required to successfully perform the job.
