The Executive Assistant for Mortgage Capital Management in Houston, TX, will contribute to the overall success of Global Banking & Markets (GBM) in the USA, ensuring specific individual goals, plans, and initiatives are executed in support of the team's business strategies and objectives. This role involves providing confidential executive support to a team that includes 5+ senior executives and 6+ junior staff, ensuring compliance with governing regulations, internal policies, and procedures.

Responsibilities

  • Provide confidential executive support including managing expenses and preparing extensive expense reports.
  • Prioritize client-facing work with competing internal demands.
  • Maximize calendar efficiency for the team, creating productive schedules.
  • Manage complex domestic and international travel arrangements.
  • Handle all meeting logistics, including invitations and technology requirements.
  • Keep client databases (Salesforce) up to date.
  • Champion a customer-focused culture to deepen client relationships.
  • Provide guidance and mentorship to junior members of the Admin Team.
  • Establish sound business relationships by providing courteous assistance.
  • Ensure adherence to operational risk and regulatory compliance.

Requirements

  • Post-secondary training in business administration or equivalent experience.
  • 5 to 7 years of experience in a business administration support function, preferably in financial services.
  • Extensive experience managing expenses.
  • Strong technical skills and knowledge of MS Office 2010.
  • Excellent coordination, organizational, time-management, and prioritization skills.
  • Attention to detail and accountability in follow-up.
  • Proactive problem-solving skills and ability to work independently.
  • Clear and articulate communication skills in both oral and written form.
  • Flexibility and high tolerance for change.
