About the position

Under limited direction, organize and manage administrative aspects of various company projects and initiatives. Align with company executives to provide professional support and liaison among employees, clients, and business associates.

Responsibilities

  • Provide confidential support to senior officers by managing projects and details associated with schedules, commitments, travels, and communications; prioritize emails and arrange meetings and business events.
  • Liaise with officers to identify and define projects and associated requirements, scopes and objectives to align with company goals. Initiate needed action to deliver organizational projects efficiently; analyze project progress and, when necessary, adapt scope or timeline to achieve optimal results.
  • Maintain schedules, monitor expenses and facilitate communication among team members, and ensure project tasks are completed on time and within specifications.
  • Organize meetings, including preparing and assembling meeting materials and logistics, developing power point presentations, managing scheduling and attendee responses.
  • Work with various areas of the company to complete assignments, resolve problems and inquiries and to allow for efficient data and information flow.
  • Develop and prepare correspondence, reports, presentations, and documents of a highly confidential nature.
  • Perform other related duties as assigned.

Requirements

  • Bachelor's degree in business administration, or other complimentary discipline or equivalent work experience.
  • Five years' project/administrative experience which includes providing support to senior officers of an organization.
  • Excellent knowledge of and proficient with Microsoft suite of products.
  • Savvy with utilizing technology to promote workflow efficiency.
  • Skilled in budgeting and expense reporting software applications.
  • Discretion and attention to detail are critical.
  • Demonstrated verbal and written skills required.
  • Strong organizational skills required.
  • Demonstrated ability to multi-task and prioritize projects.
  • Exceptional interpersonal skills with proven ability to build trust, confidence, respect, and effective working relationships among individuals at all levels of the organization.
  • Promote collaborative style in the workplace including professionalism, accuracy, dependability, and initiative.

Nice-to-haves

  • Previous experience providing project and administrative support to President, CEO or Chairman of an organization.
  • Previous insurance industry experience; experience working with investment / finance area of an organization.
  • Notary Public Record.
