Responsibilities

  • Ability and poise to interact on a daily basis with internal and external c-level executives as well as clients and prospective clients
  • Plan, coordinate, and support meetings, conferences, and property tours.
  • Arrange travel (flights, hotels, dinners) for executives and at times clients.
  • Coordination of media appearances, speaking engagements, and interviews
  • Maintain data in Salesforce CRM system
  • Prepare reports, email communication, and pitch books
  • Maintain calendaring and schedule for executives
  • Facilitate expense reimbursement in a timely manner for executives
  • General office duties (i.e. filing, faxing, copying, letters, in-bound/out-bound phone calls, preparing/composing updates, supply room/kitchen stocking, ad hoc projects, etc.)
  • Assist Administrative Team in planning and execution of firm events and other special projects
  • Perform other business-related duties as needed in a timely manner

Requirements

  • Must have 3+ years of strong experience supporting executive level management preferably in the finance or legal industry
  • Bachelor’s degree required from a creditable school
  • Service oriented, conscientious personality
  • Strong multi-tasking, follow-through skills and a sense of urgency
  • Flexible, polished, professional and outgoing
  • Ability to thrive in an independent, entrepreneurial, relatively unstructured environment
  • Excellent organizational, communication, problem solving and interpersonal skills
  • Must exhibit high degree of discretion as relates to safeguarding confidential information
  • Proficient in Microsoft Excel, Word and PowerPoint
