Responsibilities

  • Proactively manage assigned partner calendars, including scheduling meetings and identifying and resolving conflicts based on a thorough understanding of partner clients, activities, and priorities
  • Plan and manage travel for assigned partners, who typically visit multiple US cities each week
  • Prepare and submit monthly expense reports
  • Assist with time reporting as needed
  • Manage client contact information as needed in CRM system (SalesForce)
  • Create and manage correspondence (e.g., e-mails, holiday cards) as needed
  • Type and proofread documents (e.g., engagement letters, reports) upon request
  • Occasional support and coordination of office meetings, including catering and conference room reservations
  • Practice administrative support including business development, internal meetings, industry events, etc.
  • Support other special projects and/or administrative activities in support of firm objectives as assigned

Requirements

  • At least 3-5 years of experience providing executive-level support in a professional services environment (e.g., consulting, legal, financial services)
  • Bachelor’s degree preferred
  • Exceptional organizational skills, including the ability to multi-task and prioritize competing demands in a fast-paced, dynamic environment
  • Excellent verbal and written communication skills
  • Outstanding client service orientation – highly responsive and willing to go the extra mile
  • Keen attention to detail
  • Able to identify and solve problems with little direction proactively and independently
  • Sound judgment and a high level of maturity
  • Outstanding team player and contributor to a collaborative, energizing, and fun work environment
  • Proficient in Microsoft Outlook and Word

Nice-to-haves

  • Experience with SalesForce, HubSpot, MS Teams and Zoom preferred
  • Experience in event coordination a plus
  • Ability to travel ad hoc (~1-2 days per quarter)
