About the position

The Executive Secretary II (Unclassified) position is a vital role within the Department of Inspector General, serving as the confidential secretary to an executive level position. This role is designed for individuals who have been appointed in accordance with the Columbus City Charter, Section 148(1), and it is important to note that those in unclassified appointments serve at the pleasure of their appointing authority, meaning they can be terminated from employment at any time. The position requires a high level of discretion and professionalism, as the individual will be responsible for managing sensitive information and supporting the Mayor's office in various administrative capacities. In this role, the Executive Secretary will prioritize phone calls and correspondence that require the executive's attention, ensuring that essential matters are addressed even in the executive's absence. The position involves direct communication with individuals at all levels of city government, the community, and the general public, making strong interpersonal skills essential. The Executive Secretary will coordinate travel plans, schedule appointments, and maintain the executive's calendar, ensuring that all engagements are organized and efficiently managed. Additionally, the Executive Secretary will review correspondence and documents for accuracy, compose various forms of communication, and identify areas for improving office efficiencies. The role also includes taking and transcribing minutes of meetings, managing records, and providing administrative support to other executives and staff as needed. This position may also involve supervising subordinate staff, making leadership skills an important aspect of the role.

Responsibilities

  • Serve as the confidential secretary to an executive level position.
  • Act as an administrative assistant to the Mayor.
  • Prioritize phone calls and correspondence for the executive.
  • Relay critical information to the executive in their absence.
  • Handle telephone calls, correspondence, and inquiries on behalf of the executive.
  • Coordinate all travel plans for the executive, including airline, hotel, and rental car arrangements.
  • Schedule appointments, meetings, and conferences; maintain the executive's appointment calendar.
  • Review all correspondence and documents for accuracy before they are signed by the executive.
  • Compose correspondence and office memoranda for the executive's review and signature.
  • Identify areas to improve office efficiencies and recommend appropriate procedures or practices.
  • Prepare and type letters, memos, legislation, contracts, and other documents as directed by the executive.
  • Take, transcribe, and distribute verbatim minutes of meetings, boards, and hearings.
  • Assist with special projects related to the department's mission.
  • Assemble, collate, and copy various documents for meetings and presentations.
  • Maintain a records management system and a filing system for the executive's files.
  • Handle material of a sensitive and confidential nature.
  • Participate on various committees and similar activities.
  • Provide administrative support to all executives and other staff in the director's or Mayor's Office.
  • Supervise subordinate staff as needed.

Requirements

  • Bachelor's Degree in business, public administration, or a related field and four (4) years of professional experience in business or public administration; OR eight (8) years of professional experience in business or public administration without a bachelor's degree.
  • Two (2) years in a supervisory capacity coordinating administrative activities, preferably in a related field.
  • Experience working directly with individuals at all levels of city government, the community, and the general public.
