About the position

East Penn is currently seeking a Finance and Accounting Secretary who will support the Corporate Controller and all finance departments by assisting with administrative and office responsibilities. This role is crucial in ensuring the smooth operation of the finance department and will involve cross-training with the office support admin. The Finance and Accounting Secretary will be responsible for a variety of tasks that contribute to the overall efficiency of the finance team. The successful candidate will assist the Finance department management in various duties such as answering and directing calls, scheduling appointments and meetings, and maintaining an organized filing system and records. Additionally, the role includes assisting departments with the distribution of incoming and outgoing mail and packages, preparing and sending monthly intercompany related billings, and supporting light accounting duties such as data entry and report preparation. The Finance and Accounting Secretary will also assist with various Accounts Payable duties, including new vendor entry and maintenance, and help in the preparation of PowerPoint presentations for Finance department managers. Other duties may be assigned as necessary, and maintaining regular attendance and the ability to work mandatory overtime are essential aspects of this position. This role requires a commitment to producing high-quality work and adhering to proper hygiene, housekeeping, and safety practices. The Finance and Accounting Secretary will play a vital role in supporting the finance team and ensuring that all administrative tasks are handled efficiently and effectively.

Responsibilities

  • Assisting the Finance department management in various duties such as answering and directing calls.
  • Scheduling appointments and meetings for the finance team.
  • Maintaining filing system and records for the finance department.
  • Assisting departments with distribution of incoming and outgoing mail and packages.
  • Preparing and sending monthly intercompany related billings including corporate cell phone program.
  • Assisting with light accounting duties such as data entry and preparing reports.
  • Assisting with various Accounts Payable duties including new vendor entry and maintenance.
  • Assisting in preparation of PowerPoint presentations for Finance department managers.
  • Performing word processing as necessary related to the Finance departments.
  • Other duties as assigned.

Requirements

  • 1-2 years of Office Administrative experience.
  • High School Degree required.
  • Ability to communicate effectively with co-workers.
  • Ability to maintain and protect sensitive and confidential information.
  • Basic math skills.
  • Strong computer skills (Excel, Word, PowerPoint, Teams, and Outlook).
  • Ability to multi-task in an office environment.
