About the position

The Grant & Contract Officer (GCO) plays a crucial role within the centralized Office of Research Administration (ORA) at Cedars-Sinai Medical Center. This position is primarily responsible for the accurate and comprehensive post-award administration of research awards and clinical trials assigned to specific departments. The GCO works collaboratively as part of a team under the guidance of management, ensuring that Principal Investigators (PIs) and their staff receive the necessary support for financial post-award management of research projects. This includes providing timely and helpful assistance, interpreting funding agency regulations, and ensuring that PIs are aware of their responsibilities and sponsor requirements. In this role, the GCO utilizes their professional skills in financial compliance and reporting to ensure responsible administration of externally sponsored awards, philanthropic support, and clinical research funded by pharmaceutical companies. The GCO is expected to be well-versed in institutional and departmental policies and procedures, guiding PIs and staff on Cedars-Sinai Medical Center (CSMC) and sponsor policies as they relate to research administration. Additionally, the GCO conducts in-service training seminars for PIs and staff, serves as a key information resource for the department and research community, and participates in career development training and departmental performance improvement processes. The GCO operates under the general supervision of the Manager of Post Award Reporting & Compliance, overseeing and managing an assigned portfolio. Responsibilities include preparing and submitting invoices and financial reports, reviewing transactions and expenditures, and ensuring compliance with agency requirements. The GCO conducts thorough reviews and analyses of award terms and conditions, providing guidance to PIs on administrative and fiscal compliance. They also monitor changes in funding agency policies, identify financial issues impacting reimbursement, and communicate financial information to Cedars-Sinai's research community and external funding agencies. The GCO is responsible for maintaining timely execution of portfolio management activities, ensuring compliance with state and federal laws, and demonstrating flexibility and initiative to support organizational changes.

Responsibilities

  • Responsible for accurate and comprehensive post-award administration of research awards and clinical trials.
  • Provide patient and helpful assistance for Principal Investigators (PIs) and staff in financial post-award management.
  • Interpret funding agency regulations and procedures to ensure PIs understand their responsibilities.
  • Utilize professional abilities in financial compliance and reporting for responsible post-award administration.
  • Guide PIs and staff on CSMC and Sponsor policies as they apply to research administration.
  • Conduct in-service training seminars for PIs and staff.
  • Participate in career development training and departmental performance improvement processes.
  • Prepare and submit invoices and financial reports for assigned portfolio.
  • Review transactions and expenditures to ensure compliance with agency requirements.
  • Conduct review, analysis, and interpretation of award terms and conditions.
  • Monitor changes in funding agency policies and identify financial issues impacting reimbursement.
  • Manage and communicate financial information to Cedars-Sinai's research community and external funding agencies.
  • Maintain timely execution of portfolio management activities including financial reports and invoicing.
  • Review and analyze accounts/projects to ensure costs are reasonable and allowable according to sponsor terms.
  • Provide notification to management regarding accounts not in compliance with funding limitations.
  • Ensure compliance with state and federal laws, accreditation, and regulatory agency standards.

Requirements

  • High School Diploma required; Bachelor's Degree in Business, Sciences, or Liberal Arts strongly preferred.
  • 1-2 years of demonstrated ability in independent financial administration of research grants and contracts.
  • Entry-level working knowledge of policies and procedures of granting agencies and institutional systems.
  • Analytical abilities to identify and review problem situations and recommend solutions.
  • Effective verbal and written communication skills to interact with individuals at varying levels.
  • High degree of accuracy and attention to detail in managing research portfolios and projecting expenditures.
  • Ability to use a calculator and familiarity with software programs such as PeopleSoft or similar.

Nice-to-haves

  • Familiarity with Grants.gov, Proposal Central, NIH eRA Commons, and NSF Fastlane.
  • Experience in conducting training seminars for staff and PIs.
