About the position

The Secretary/Receptionist at Fresenius plays a crucial role in providing general clerical support and office duties for the department and its management. This position is essential for ensuring the smooth operation of the office and involves a variety of administrative tasks that contribute to the overall efficiency of the department. The Secretary/Receptionist will be responsible for performing basic administrative functions, which include the preparation of business correspondence, memorandums, informational packages, training materials, and reports. Additionally, the role requires assisting with scheduling and maintaining calendars and daily schedules for the department's management team. In this position, the Secretary/Receptionist will also maintain departmental tracking logs and greet visitors, directing them to the appropriate location or person as needed. Establishing and maintaining filing systems and basic databases is another key responsibility. Routine general office duties such as filing, copying, and scanning will also be part of the daily tasks. The Secretary/Receptionist will provide general clerical support to management staff, which includes scheduling meetings, routing phone calls, and taking messages. Recording minutes of meetings and providing the resulting documents as necessary is also expected. The role involves sorting and distributing mail, maintaining an inventory of necessary office forms and supplies, and escalating issues to the supervisor for resolution when necessary. The Secretary/Receptionist may also assist with various projects as assigned by the direct supervisor, and additional responsibilities may include a focus on one or more departments or locations, as specified in applicable addendums.

Responsibilities

Requirements

  • High School Diploma required.
  • 1 - 2 years' related experience.
  • Knowledge of office procedures required.
