About the position

The Hospital Unit Secretary plays a crucial role in facilitating department and patient flow within the West Wing 12 unit at Jackson Health System. This position serves as a frontline ambassador for customer service, performing essential clerical duties and data entry functions to support patient care. The role is designed for per diem work, specifically on weekends, ensuring that the unit operates smoothly and efficiently during these times.

Responsibilities

  • Prepares & maintains medical records, ensuring all pages are labeled and organized.
  • Places forms, clinical reports, and diagnostic studies accurately and in a timely manner.
  • Thins and breaks down charts for medical records or transfers as appropriate.
  • Flags unsigned forms for signature and follows up for completion.
  • Performs document scanning into electronic documentation management systems.
  • Maintains and updates the bed tracking system to reflect patient status accurately.
  • Transfers and discharges patients in the computer system, updating unit census as per standards.
  • Enters patient or unit charges and ensures computer census accuracy at the beginning, during transfers, and at the end of each shift.
  • Handles Computer Physician Order Management responsibilities, including printing forms and documenting consults.
  • Verifies active diet orders with the RN and ensures accuracy of patient status.
  • Assists nurses with patient requests and transports patients, supplies, and specimens as needed.
  • Delivers meal trays and assists in completing menus when applicable.
  • Obtains updated OR schedules daily and maintains cleanliness of the unit and nurse station.
  • Greets visitors to the unit and assists with patient discharges and transfers.
  • Answers patient call systems and telephones, delivering messages appropriately.
  • Maintains knowledge of printers and clerical equipment, reporting malfunctions as necessary.
  • Assists with materials management, including ordering supplies and orienting new employees.
  • Collects and stores patient belongings as needed, demonstrating service excellence and CARE values.

Requirements

  • High School diploma is required.
  • 0 to 3 years of related experience is generally required.
  • American Heart Association Basic Life Support (BLS) certification is required upon hire.
