As an IP Legal Support Assistant, you will play a crucial role in supporting our legal team by preparing, editing, and proofreading various legal documents, including briefs, motions, discovery, pleadings, memos, and correspondence. You will also perform complex administrative duties that require a solid understanding of legal terminology and processes. Your responsibilities will include filing documents in district, state, and federal courts, scheduling and coordinating logistics for meetings, travel, and depositions, and maintaining calendars that include court deadlines and appearances. Additionally, you will be the first point of contact for clients and visitors, ensuring a professional and welcoming environment. Your role will also involve entering billable time into the firm's billing software, managing client files, responding to inquiries, and coordinating lunch orders for meetings and special occasions. We are looking for someone who is highly organized, detail-oriented, and proactive, with a strong desire to contribute to the team. The ideal candidate will possess excellent verbal and written communication skills and be proficient in Microsoft Word and Outlook. Some overtime may be required, and a professional appearance and demeanor are essential for this position.

Responsibilities

  • Prepare, edit, and proof briefs, motions, discovery, pleadings, memos, correspondence, and other similar documents and reports.
  • Perform complex administrative duties requiring knowledge of legal terminology and legal processes.
  • File briefs, pleadings, and other filings in district/state/federal court as needed.
  • Schedule and coordinate logistics for meetings, travel, and depositions.
  • Maintain calendars including court deadlines and appearances.
  • Answer incoming calls, prepare documents for shipment, and distribute mail.
  • Greet and interact with clients and visitors to the firm's offices and notify appropriate personnel of the arrival of guests.
  • Enter billable time into the firm's billing software and submit expense reimbursements.
  • Open and maintain client files, cases, and organizational documents.
  • Respond to inquiries for information.
  • Schedule conference rooms, manage conference room calendars and set-up instructions, and maintain reception area and conference room appearances.
  • Coordinate lunch orders such as Lunchbox program, catering for meetings, monthly celebrations, and flowers or gifts for special occasions.
  • Other responsibilities as needed.

Requirements

  • Associate's degree or equivalent from a two-year college or technical school; or two years related experience and/or training; or equivalent combination of education and experience.
  • General IP experience is preferred; experience with IP docketing systems is a plus.
  • Professional appearance and demeanor with a commitment to providing exceptional client service.
  • Highly organized, detail-oriented, and proactive with a desire to take ownership as a contributing member of the team.
  • Ability to balance competing priorities and work effectively in a fast-paced environment, exercising patience and professionalism during stressful situations.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Word and Outlook.
