The Receptionist/Legal Assistant at the Law Offices of Alex Cha & Associates plays a crucial role in supporting the legal team by managing various administrative tasks and ensuring effective communication within the firm. This position is primarily focused on providing exceptional customer service and responsiveness to the needs of the firm through various forms of communication, including phone calls, emails, and letters. The Receptionist/Legal Assistant will be responsible for scheduling medical appointments, requesting medical records, and managing clients' medical care, which is essential for personal injury cases. Additionally, the role involves contacting property damage adjusters to schedule inspections, completing necessary paperwork such as the SR-1, and filing with the DMV. The ideal candidate will be detail-oriented and professional, with excellent customer service skills. They will also be required to answer incoming phone calls, screen them, and transfer calls to the appropriate team members. Organizing and communicating daily mail with the team is another key responsibility. The Receptionist/Legal Assistant will also support the intake process as needed and perform other duties as assigned by the legal team. This position requires a bilingual individual fluent in both English and Korean, as effective communication with clients and team members is vital. Responsibilities

  • Providing customer service and responsiveness to firm needs through phone calls, emails, letters, and other communications.
  • Scheduling medical appointments, requesting medical records, and managing client's medical care.
  • Contacting property damage adjusters to schedule inspections, completing SR-1, and filing with DMV.
  • Following up with vehicle inspections, collecting deductibles, and managing rental reimbursements.
  • Answering incoming phone calls and screening them, transferring to the appropriate team member.
  • Collecting, organizing, and communicating daily mails with the team.
  • Supporting intake as needed.
  • Performing other duties as assigned.

Requirements

  • High school diploma or GED preferred.
  • 1 year of experience in reception or customer service preferred.
  • Bilingual in English and Korean (reading, writing, listening, speaking).
  • Detail-oriented and professional demeanor.
  • Excellent customer service skills.
  • Highly proficient with word processing and spreadsheet programs.

Nice-to-haves

  • Experience in personal injury or lemon law preferred.
