About the position

The Lead Administrative Assistant/Building Secretary plays a crucial role in supporting the operations of the Sun Prairie Area School District by performing advanced secretarial tasks. This position enhances the effectiveness of school administrators by managing information, facilitating communication, and ensuring the smooth operation of school programs. The role involves a variety of responsibilities, including managing schedules, handling correspondence, and maintaining student records, all aimed at fostering a successful educational environment.

Responsibilities

  • Composes and types letters, memoranda, reports, and other documents.
  • Receives and screens visitors and telephone calls, schedules appointments, and manages calendars.
  • Makes scheduling commitments for administrators and assembles necessary materials for meetings.
  • Proofreads and corrects prepared materials for grammar and content accuracy.
  • Establishes and maintains office files, logs, and student records.
  • Monitors and records student attendance and manages enrollment processes.
  • Coordinates substitute services and monitors staff absences.
  • Manages data entry and retrieval from electronic and paper records.
  • Creates and updates the school website.
  • Provides basic first aid and maintains injury logs.
  • Assists in budget preparation and financial record keeping.
  • Orders office supplies and coordinates repairs as needed.
  • Facilitates student activities and events, including field trips.
  • Supervises students and assists with behavior interventions.
  • Maintains confidentiality of documents and information.
  • Acts as a liaison to community partners and participates in committees.

Requirements

  • High school diploma or GED.
  • 3-5 years of administrative experience in a fast-paced office environment.
  • Proficiency in Microsoft Word and Microsoft Office.
  • Strong customer service and communication skills.
  • Ability to operate standard office equipment and manage multi-line phone systems.
  • Typing skills and attention to detail.
