About the position

The Legal Administrative Assistant position at Jones Walker, LLP in Jackson, MS, is designed to provide comprehensive administrative and clerical support to attorneys within the Corporate Practice Group and Tax Practice Group. The ideal candidate will be detail-oriented and organized, possessing a strong understanding of legal procedures and terminology pertinent to corporate and tax law. This role is crucial in ensuring the smooth operation of legal processes and maintaining the high standards expected in a law firm environment. In this position, the assistant will be responsible for a variety of tasks that include answering phone calls, taking messages, and redirecting calls as necessary. Administrative support will also involve creating check requests, reimbursement requests, and reserving conference rooms. The assistant will draft, format, transcribe, and revise letters, memos, forms, reports, and other documents as assigned, ensuring that all communications are clear and professionally presented. Additionally, the role requires organizing and maintaining corporate records, including minute books, resolutions, and corporate filings. The assistant will manage daily appointment calendars, book meetings, and make travel arrangements for attorneys. Filing documents with various municipal, county, state, and federal courts and agencies is also a key responsibility. Furthermore, the assistant will assist with the billing process by entering attorneys' time, reviewing prebills, and submitting them for invoicing. This position is essential for supporting the legal team and ensuring that all administrative tasks are handled efficiently and accurately.

Responsibilities

Requirements

  • High school diploma or equivalent is required; bachelor's degree or certification in legal studies preferred.
  • Three years of experience as a legal secretary/legal assistant with a focus on corporate and tax law.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), document management systems, and legal research databases.
  • Excellent written and verbal communication skills with careful attention to grammar, spelling, and punctuation.
  • Pleasant disposition and ability to work with others.
  • Must be punctual and maintain the highest professional standards.
