About the position

The Legal Administrative Assistant (LAA) plays a crucial role in supporting attorneys and paralegals by producing a variety of work products related to attorney-client interactions. This includes the preparation and modification of legal documents, management of time entries, coordination of travel plans, and facilitation of meetings. The LAA is responsible for handling incoming and outgoing correspondence, managing expense entries, and maintaining both paper and electronic files. The position requires a high level of professionalism, confidentiality, and respect in all interactions with law firm members, including lawyers, paralegals, and other staff. The LAA must be proactive in anticipating the needs of assigned attorneys and ensuring that all tasks are completed accurately and within specified deadlines. In this role, the LAA will report to the LAA Supervisor/Office Manager and will work closely with the attorneys and paralegals to whom they are assigned. The position requires a minimum of three days in the office to perform essential functions effectively. The LAA will also be responsible for preparing documents for e-filing, managing client billing matters, and coordinating travel arrangements. The role demands strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The LAA will also serve as a backup to other LAAs and will be expected to assist with various administrative tasks as needed.

Responsibilities

  • Produce and modify legal documents accurately and within requested timeframes for assigned legal group.
  • Coordinate lengthy and complex document preparation with Work Product Support Services as needed.
  • Prepare documents for e-filing as required.
  • Review and route incoming mail; prepare and process outgoing mail and faxes.
  • Maintain paper and electronic files in compliance with current policies.
  • Manage incoming calls, including client calls, and assist in coordinating timekeeper calendars.
  • Coordinate travel arrangements, prepare itineraries, and prepare travel expense reports.
  • Prepare daily time entries for assigned attorneys and submit them to Accounting in a timely manner.
  • Assist attorneys with tracking and monitoring alternative fee arrangements and matter budgets.
  • Demonstrate effective teamwork and provide assistance to other LAAs as time permits.

Requirements

  • High School diploma or equivalent.
  • 3-4 years of Legal Administrative Assistant experience or equivalent.
  • Strong computer skills with Microsoft Word and Outlook, as well as file document management tools such as FileSite or WorkSite.

Nice-to-haves

  • College or business school education.
  • Prior experience in the assigned practice area(s).
  • Strong computer skills with PowerPoint.
  • Law firm experience preferred.
