About the position

MDU Resources Group, Inc., the largest publicly traded company headquartered in North Dakota, is seeking a Legal Administrative Assistant to provide efficient, accurate, and professional administrative support within the legal department. This role will operate under the supervision of an attorney or legal analyst, ensuring that all tasks are completed with a high level of professionalism and attention to detail. The Legal Administrative Assistant will be responsible for a variety of administrative duties that are essential to the smooth operation of the legal department. The position requires a strong understanding of office practices and procedures, which is typically acquired through the completion of an Associate's Degree in business administration, administrative support, or a related field, along with three years of relevant work experience. The successful candidate will be expected to prioritize safety in their daily work routines, reflecting the company's commitment to a safe working environment for all employees. In addition to standard administrative tasks, the Legal Administrative Assistant will be involved in composing, preparing, and distributing various legal documents, including agendas, written consents, resolutions, and meeting notices. The role also includes proofreading and composing routine letters and documents related to the Legal Department's activities, ensuring that all communications are consistent and adhere to departmental standards. The assistant will manage incoming mail and electronic communications, determining the appropriate routing and maintaining follow-up on necessary actions. This position is located on-site at the MDU Resources Corporate Campus in Bismarck, ND, and requires the candidate to be legally authorized to work in the United States without sponsorship.

Responsibilities

  • Composes, prepares and distributes documents including agendas, written consents, resolutions, and meeting notices.
  • Drafts meeting minutes with supervision as requested.
  • Proofs and composes routine letters and documents related to the Legal Department's activities.
  • Sorts, reads and annotates incoming mail, electronic communications and documents, determining routing and signatures required.
  • Maintains and updates paper and electronic files, records and systems including litigation files and corporate governance files.
  • Coordinates routing projects including making copies, distributing correspondence, and preparation and distribution of U.S. Mail and other couriers.
  • Performs other tasks and special projects as assigned.

Requirements

  • Must possess working knowledge of office practices and procedures at a level normally acquired through completion of an Associate's Degree in business administration, administrative support or related field.
  • Three years of related work experience.
  • Must take all measures necessary to protect networks, devices, programs and data from cyber-attack, damage or unauthorized access.
  • Must be legally authorized to work in the United States, no sponsorships considered.
  • Subject to pre-employment drug testing and background checks.
  • May be required to maintain a valid driver's license.

Nice-to-haves

  • Ability to identify corporate operational matters requiring Board action and/or approvals and assist in determining appropriate action.
  • Knowledge of legal terminology and specialized working knowledge relating to preparation of documents and maintenance of corporate records.
  • Knowledge of the legal industry, including law processes and state/federal regulations.
