About the position

The Legal Administrative Assistant at J. Molina Immigration Law LLC plays a crucial role in supporting the operations of a boutique immigration law firm. This position involves managing client interactions, preparing legal documents, and ensuring efficient communication within the firm. The ideal candidate is bilingual in Spanish and English, detail-oriented, and passionate about helping clients navigate the complexities of immigration law.

Responsibilities

  • Conduct in-person and virtual client intakes, guiding clients through form completion and evidence gathering.
  • Prepare comprehensive legal packets, draft cover letters, and ensure accurate submission to USCIS and Probate Court.
  • Maintain detailed case notes, update clients on case progress, and manage important deadlines.
  • Organize consultations, follow-up appointments, and client-related appointments, optimizing the attorney's calendar.
  • Handle phone calls, WhatsApp messages, and mail distribution; manage both physical and digital filing systems, including scanning and organizing documents.
  • Support invoicing, track payments, and communicate with clients regarding outstanding balances.
  • Help draft and send weekly immigration newsletters and assist in content management for social media.
  • Update client records, track deadlines, and ensure all information is current and accurate.
  • Uphold all legal and ethical standards when handling sensitive client information.

Requirements

  • Bilingual (Spanish/English) with excellent communication skills.
  • Comfortable using Google Workspace (Gmail, Google Sheets, Google Docs), Adobe Acrobat, and WhatsApp; familiarity with MailChimp and social media platforms.
  • At least 1 year of experience in an administrative role, ideally in a legal or professional environment.
  • Strong proofreading skills, meticulous in document preparation and record-keeping.
  • Ability to work effectively with clients from diverse backgrounds.
