About the position

The Los Angeles (Century City) office of Carlton Fields is seeking a professional Legal Administrative Assistant to support a litigation team in a busy, growing office. The ideal candidate will have a minimum of five to seven years of litigation experience, specifically focusing on Complex Civil Litigation, Commercial Litigation, National Class Action, Multi-District Litigation, Mass Torts, Business Litigation, and Trial Support. This position is crucial as it will support Shareholders, Of Counsel, and Associates in a fast-paced environment, ensuring that all administrative tasks are handled efficiently and effectively. The Legal Administrative Assistant will be responsible for a variety of tasks that are essential to the smooth operation of the litigation team. These tasks include E-Filing and E-Service with Federal and State Courts, demonstrating proficiency with local court rules, and mastering Microsoft Word, including styles, numbering, and schemes. The candidate will assist attorneys in preparing, proofreading, and revising documents, as well as preparing briefing binders and managing calendars using Vision Compulaw and Outlook. In addition to document management, the role involves maintaining files and records using FileSite/iManage, with experience in this area preferred. The assistant will also be responsible for submitting new business intake, conflict check requests, preparing engagement letters, and handling client billing. Other duties include preparing expense reimbursement, budget and check requests, coordinating and handling client audit requests, and scheduling travel and appointments while maintaining calendars and reminders. Strong verbal and written communication skills, attention to detail, and the ability to work independently and as part of a coordinated team are essential for success in this role. The candidate should also be available to work overtime as needed.
