About the position

As a Legal Assistant/Secretary at BJ Services, you will provide high-level administrative support to our government relations professionals, attorneys, and clients. Your role will involve formatting correspondence and other documents, proofing, editing, and scanning/printing documents under tight deadlines. You will be responsible for extensive scheduling for professionals with clients, potential clients, State officials, and legislative offices, managing multiple demanding schedules through Microsoft Outlook calendars. Additionally, you will coordinate travel arrangements weekly for multiple professionals, including air, train, and hotel bookings through our corporate travel companion, Navan. Your responsibilities will also include running conflict checks, preparing engagement letters, and opening new client matters within our onboarding system. You will assist in coordinating government relations events and conferences, handling logistics such as catering, invitations, nametags, room scheduling, and preparation. Furthermore, you will prepare and submit expense reports and maintain both paper and electronic files through our document management system, adhering to filing protocols and retention policies. You will assist with billing and proforma review through 3E, working independently and collaboratively with other practice assistants to ensure client satisfaction and build reliable relationships. Confidentiality and adherence to firm policies, procedures, standards, and guidelines are paramount in this role.

Responsibilities

Requirements

  • A minimum of 3 years' experience as a legal practice assistant, administrative or executive assistant, or in a legislative office setting.
  • Excellent focus, diligence, and time management skills.
  • Strong interpersonal and communication skills.
  • Positive can-do, team-oriented attitude.
  • Ability to work efficiently and balance assignments from multiple professionals.
  • Proficient in MS Word, Outlook, Excel, and other document management systems.
