About the position

The Legal Assistant position in Menomonee Falls is a permanent role that plays a crucial part in supporting attorneys and the Office Manager. This individual will be responsible for delivering high-quality client and attorney support by providing both legal and administrative assistance. The role involves performing complex and specialized legal support tasks, as well as clerical duties, all while working collaboratively in a team-oriented environment. The Legal Assistant will be expected to deal directly and frequently with clients, ensuring effective communication and obtaining necessary information. In addition to client interaction, the Legal Assistant will proactively maintain an overview of attorney workloads, clients, and matters, ensuring that calendars are accurately maintained. Organizing and tracking files for important transactions or case documents is a key responsibility, as is transcribing recorded dictation and creating, editing, formatting, and redlining documents. The role also requires composing routine correspondence and proofreading legal documents to ensure accuracy and compliance with legal standards. The Legal Assistant will be responsible for electronically filing documents with federal and state courts, obtaining due diligence materials such as corporate certificates of good standing, real estate and title information, and UCC filings. Maintaining and entering time charges into the billing system, initiating conflict checks, and ensuring client confidentiality are also essential functions of this position. The ideal candidate will have a strong background in legal assistance, exceptional organizational skills, and the ability to manage multiple tasks simultaneously.

Responsibilities

  • Dealing directly and frequently with clients; communicate with and obtain information from clients.
  • Proactively maintain an overview of attorney workload, clients/matters and accurately maintain calendars.
  • Organize and track files for important transactions or case documents.
  • Transcribe recorded dictation; create, edit, format, and redline documents; compose routine correspondence; accurately proofread legal documents; create table of contents and table of authorities.
  • Electronically file documents with the federal and state courts.
  • Obtain due diligence materials, such as corporate certificates of good standing, real estate and title information, and UCC filings.
  • Maintain and enter time charges into billing system.
  • Initiate conflict checks.
  • Maintain client confidence by keeping client/attorney information confidential.

Requirements

  • 2+ years of experience in a legal assistant or secretary role.
  • Exceptional keyboarding skills required and competency in Adobe Acrobat and Microsoft Office, including Word, Outlook, Excel, and Power Point.
  • Strong written language skills, including excellent spelling, grammar, punctuation, form, and style.
  • Excellent organizational and time management skills; ability to be proactive, initiate and organize/prioritize work, and perform multiple tasks simultaneously.
