About the position

KEW Legal is seeking a sharp legal assistant for our busy law firm located in Sunny Isles Beach, FL. This position is ideal for someone who can help our attorneys and paralegals assist our clients while ensuring the office runs smoothly. As a legal assistant, you will work closely with the team to prepare a variety of legal documents and handle essential office correspondence. Your responsibilities will include answering emails and phone calls, scheduling meetings and travel, and reminding the team of upcoming deadlines. In this role, you will be responsible for creating various litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation. You will also proofread documents when necessary and ensure that client billing is processed properly using daily time records with assistance from the accounting department. Additionally, you will arrange travel, schedule meetings and appointments for the team, such as depositions, and coordinate with outside vendors for events. Performing legal research as needed, with help from attorneys and paralegals, will also be part of your duties. You will be expected to take on any other necessary administrative tasks to help the firm run smoothly, providing outstanding customer service and prompt communication to clients and referral sources. Updating case management systems with clients' projects, deadlines, and reminders will be crucial. You will also be involved in filing new entities, amending articles, converting entities, and other entity work in the Division of Corporations for the State of Florida and Delaware, with little to no supervision. Other tasks include requesting EINs, drafting corporate documents, demand letters, cease and desist letters, and completing applications for governmental agencies. Flawless coordination of full execution of documents by all parties is essential.

Responsibilities

  • Help with creating a variety of litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents when necessary.
  • Ensure client billing is processed properly using daily time records with assistance from the accounting department.
  • Arrange travel, schedule meetings and appointments for the team, such as depositions, and coordinate with outside vendors for events.
  • Perform legal research, as needed, with help from attorneys and paralegals.
  • Be willing to take on any other necessary administrative tasks to help the firm run smoothly.
  • Providing outstanding customer service and prompt communication to clients and referral sources.
  • Updating in case management the clients' projects with any relevant matter events, deadlines, and reminders.
  • Filing new entities, amending articles, converting entities, and other entity work in the Division of Corporations for the State of Florida and Delaware, with little to no supervision.
  • Requesting EINs online and on paper with little to no supervision.
  • Drafting the bases for corporate documents, such as operating agreements, resolutions, consents, addendums to agreements, and others, for attorney review.
  • Drafting demand letters and cease and desist letters for attorney review.
  • Completion of applications for governmental agencies, such as liquor licenses, trademark applications, nonprofits, etc., for attorney review.
  • Drafting of contract term sheets for agreements entered into by clients.
  • Drafting bases for Letters of Intent and Memorandums of Understanding.
  • Flawless coordination of full execution of documents by all parties.

Requirements

  • Minimum 1-2 years of experience in a law firm or office environment as an administrative assistant or secretary.
  • High school diploma or equivalent is required; associate's degree is a plus.
  • Ability to comfortably use all Microsoft Office products.
  • Must be able to type at least 50 WPM.
