About the position

Our client is seeking a legal assistant to join their team in Moorestown, NJ. This position is hybrid, but it requires the individual to be full-time in the office initially to learn the firm culture, processes, and to meet and collaborate with the team. The successful candidate will have prior legal assistant experience and will be responsible for supporting several attorneys simultaneously, primarily in the context of insurance defense firms. The ideal candidate will take pride in their work and ensure that all output accurately represents the firm’s standards and values. The legal assistant will be tasked with a variety of duties including typing correspondence, reports, opinions, agreements, memoranda, applications, and all legal documents. In the absence of an attorney, the assistant will handle client telephone inquiries, record messages, and follow up as necessary, while also making appointments for clients. Maintaining good public relations with clients is essential, as is observing the confidentiality of the attorney-client relationship. Additional responsibilities include reviewing and prioritizing incoming mail, ensuring timely deposit of outgoing mail, maintaining client and general files, and entering new client/matter data into the computer system. The assistant will also prepare and maintain client contact information, conduct periodic reviews for possible storage of older files, and prepare files for closure. They will review the monthly docket report, establish and maintain a calendar and deadline reminder system, and inform the docketing department of new and completed matters. Furthermore, the legal assistant will enter time for attorneys, law clerks, technical writers, and patent agents into the time and billing software/system, ensuring that timesheets are provided to the appropriate person in a timely manner. They will also process bills, proof billing invoices, and review and finalize bills after attorney input. Reporting filings to clients and monitoring the attorney's docket in conjunction with the docketing department are also key components of this role.

Requirements

  • Legal assistant experience in a law firm setting.
  • Accurate typing speed of 65+ wpm.
  • High proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to maintain composure under pressure.
  • Reliable attendance record.
  • Experience with editing, revising, and drafting of legal documents.
  • Excellent written and verbal communication skills.
  • Ability to multi-task and complete projects with little direction.
