About the position

Vorys, Sater, Seymour and Pease LLP is seeking a Legal Assistant to join their Newport Beach office in a hybrid work environment. This full-time position offers a competitive salary ranging from $80,000 to $100,000 per year, along with professional development opportunities and core benefits effective from Day One. The Legal Assistant will perform a variety of secretarial duties for assigned attorneys, supporting a specific practice group and assisting 5-9 attorneys. The role involves preparing practice-specific forms, maintaining electronic and paper files, and managing court documents and e-filings. The Legal Assistant will also be responsible for updating attorney calendars, delegating work to appropriate departments, and completing various tasks in a timely and accurate manner. In this role, the Legal Assistant will be expected to screen telephone calls, take messages for attorneys, and receive clients and visitors, ensuring good public relations with clients while maintaining confidentiality of the attorney-client relationship. The position requires the ability to read, sort, and date incoming mail, as well as ensure timely delivery of outgoing mail. Additionally, the Legal Assistant will schedule and calendar meetings and deadlines for attorneys, demonstrating effective organizational and prioritization skills. The ideal candidate will possess excellent spelling and proofreading skills, a typing speed of 45+ words per minute, and effective delegation skills. Knowledge of court filing procedures, including electronic filing, is essential, along with the ability to produce quality work in a self-motivated and flexible manner. Previous law firm experience is preferred, and candidates should have a high school diploma or equivalent, along with 3-5 years of experience in a similar field.

Responsibilities

  • Delegate attorney work to appropriate departments.
  • Prepare practice-specific documents, paper court filings, and e-filings.
  • Update electronic pleading/correspondence/closing folders.
  • Screen telephone calls and take messages for attorneys when requested.
  • Receive clients and visitors, maintaining good public relations with clients.
  • Observe confidentiality of attorney-client relationship.
  • Read, sort, and date incoming mail when requested.
  • Ensure that outgoing mail is delivered timely and specify types of delivery.
  • Schedule and calendar meetings and deadlines for attorneys.

Requirements

  • High school diploma or equivalent required.
  • 3 - 5 years of experience in a similar field required.
  • Excellent spelling and proofreading skills.
  • Typing speed of 45+ words per minute.
  • Effective delegation skills.
  • Knowledge of court filing procedures, including electronic filing.
  • Ability to organize, prioritize, and produce quality work.
  • Self-motivated and flexible to complete assignments in a timely manner.
