About the position

DeForest Koscelnik & Berardinelli, a small but highly regarded litigation firm located in downtown Pittsburgh, is seeking a dedicated Legal Office Assistant to join our team. This position is primarily focused on supporting a partner within the firm and is ideal for someone who thrives in a fast-paced, professional environment. As a Legal Office Assistant, you will play a crucial role in the litigation process, ensuring that all case records are organized and maintained efficiently. You will be responsible for filing pleadings in court, typically through electronic means, and arranging for the service of process and other essential documents. Your ability to manage a litigation calendar and schedule court reporters and depositions will be vital to the smooth operation of our legal team. In addition to these responsibilities, you will perform basic legal research, including cite-checking on Westlaw, and assist in drafting basic correspondence and motions. You will also be involved in written discovery requests and responses, reviewing discovery materials, and utilizing ESI discovery software to import, review, and export data. Your role will extend to summarizing testimony and developing demonstrative exhibits for trial, as well as attending trials as part of the litigation team. Administrative duties will also be part of your responsibilities, including arranging travel and submitting expenses, along with general office tasks related to supplies and equipment management. This position requires a proactive individual who is comfortable taking on responsibility and can handle multiple assignments while prioritizing effectively. Responsibilities

  • Organize and maintain case records
  • File pleadings in court, usually electronically
  • Arrange for service of process and other documents
  • Schedule court reporters and depositions
  • Maintain litigation calendar
  • Perform basic legal research such as cite-checking on Westlaw

Requirements

  • At least 3 years' employment at law firm, or similar education or work experience
  • Adept with Microsoft Word, Excel, and PowerPoint
  • Working knowledge of e-discovery tools
  • Office management experience, including electronic billing, is a plus
  • Available for 8:30 a.m. to 5 p.m. schedule, with flexibility for occasional paid overtime
  • Ability to handle multiple assignments and prioritize
  • Proficient in spelling and proofreading
  • Positive attitude and professional appearance at all times
