About the position

The Legal Secretary 1 position at the District Attorney's Office is a full-time role that involves performing a variety of responsible administrative legal support activities according to established practices and procedures. The mission of the District Attorney's Office is to seek justice by promoting accountability for criminal offenders, interpreting and enforcing the law, responding to the concerns of victims and the public, and working cooperatively with members of the justice system. This position operates under the supervision of a Legal Assistant Supervisor, who assigns work, sets goals, and reviews work for accuracy, completeness, and compliance with department policies and goals. The role does not include supervision of other employees. Typical duties include updating the computer with changes from the daily court calendar, such as attorney and courtroom assignments, comparing calendars with courts via telephone and email, accessing OJIN/eCourt to verify court actions, running computer reports, and disseminating them to office staff. The Legal Secretary will also be responsible for locating and organizing limited physical files for scanning and updating, updating warrant cases by adding events, uploading documents, and running updating CCH reports. Additionally, the role involves organizing the DDA Annex Calendar for coverage, filing physical files, cross-training with other Legal 1 duties, assisting with yearly archiving, and performing other duties as assigned by the supervisor. Candidates for this position must possess a high school diploma or equivalent and have two years of experience in office and secretarial work, or any satisfactory combination of work, education, training, or experience relevant to the position. Supplemental secretarial training courses are preferred. This position requires possession of, or the ability to obtain within 30 days of hire, Law Enforcement Data System (LEDS) certification, and candidates must pass a criminal history background investigation, including fingerprinting. The position is considered safety sensitive/special needs, and final candidates will be required to pass a pre-employment drug screen, including testing for marijuana. The typical work schedule is Monday through Friday, from 8:00 am to 5:00 pm, with flexibility depending on departmental needs.

Responsibilities

  • Updating computer with changes from daily court calendar such as attorney and courtroom assignments.
  • Comparing calendars with courts by telephone and email.
  • Accessing OJIN/eCourt to verify court actions and compare data with eProsecutor.
  • Running computer reports and disseminating them to office staff.
  • Locating and organizing limited physical files for scanning and updating.
  • Updating warrant cases by adding events, uploading documents, and running updating CCH reports.
  • Organizing the DDA Annex Calendar for coverage.
  • Filing physical files - warrants, closed, loose paper.
  • Cross training with other Legal 1 duties, including but not limited to: Intake, Reception, and Grand Jury.
  • Assisting with yearly archiving.
  • Performing other duties as assigned by the supervisor.

Requirements

  • High school diploma or equivalent.
  • Two years of experience in office and secretarial work, or any satisfactory combination of work, education, training, or experience relevant to the position.
