We are currently seeking a full-time legal secretary or legal assistant to support our business department, specifically focusing on transactional legal work. This role involves performing complex and specialized legal administrative duties that support one or more assigned business attorneys. The successful candidate will collaborate with other staff members and provide periodic support to other attorneys and departments as needed. The position is based in our Santa Rosa office, and candidates must be able to reliably commute or plan to relocate before starting work. After an initial six-month period of acclimating to our culture and processes, there may be an option for hybrid work arrangements. In this role, you will be responsible for drafting, formatting, proofreading, and redlining corporate and transactional legal documents. You will manage and organize documents, ensuring they conform to both firm and legal styles. Monitoring emails to identify scheduling and other tasks needed to support attorneys will be a key part of your responsibilities, as will drafting and proofreading emails on behalf of attorneys. You will also schedule meetings with attorneys and clients, coordinating complex schedules using the firm's calendaring tools, and calendar legal dates and deadlines. Additionally, you will plan and set up lunches and other events, as well as assist with various administrative tasks and special projects as needed. This position requires excellent written and oral communication skills, strong attention to detail, and the ability to manage multiple projects simultaneously with minimal supervision. You will be expected to develop and maintain professional, friendly relationships with colleagues and clients, and demonstrate advanced proficiency in Microsoft and Adobe applications.
