This role can be based in New York. As a Legal Secretary, you will assist in all phases of a matter from case inception through trial or resolution. Your responsibilities will include coordinating the management of case documents, which involves organization, review, and production of documents. You will assist with the preparation of court filings, ensuring proper Bluebook citation, proofreading, and assembling exhibits and appendices. Additionally, you will assist with depositions by preparing witness files, exhibits, notices, and subpoenas, as well as trial preparation and logistics, including the management of exhibits. You will provide professional client relationship management with external clients, creating, editing, and proofreading complex and practice-specific legal documents, forms, and correspondence to ensure accuracy and completeness. In conjunction with Paralegals, you may prepare or coordinate the preparation of Responses to Auditor Requests and assist with the preparation of Opinion Letters. You will also create and maintain client/matter lists and communication lists, organizing and accurately maintaining physical and electronic documents and files in a timely manner. Utilizing Firm-provided software, you will accurately store email messages and maintain and retrieve files. You will use Outlook to schedule appointments and calendar dates, maintain contacts, and assist with time note entry, including inputting, editing, proofreading, and closing timenotes daily. Demonstrating a working knowledge of internet resources, you will perform basic legal research and print off cases as requested. You will collaborate with the Client Account Manager and assigned timekeepers to manage the billing process, including editing prebills, generating reports, and sending out final invoices. You may also assist with collection efforts and coordinate client, matter, and timekeeper inquiries. Your role will involve initiating client file transfer requests and assisting with client disengagements, facilitating the secure transfer of case/client data in accordance with the firm's data security policy. You will provide backup support to other attorneys and timekeepers as needed, volunteer for overflow work assignments, and actively seek to maximize productivity and promote teamwork. Participation in departmental projects designed to streamline workflow and resolve issues is expected, as well as acting as a proactive mentor for junior staff and new employees. You will assist with training regarding specific Firm processes and procedures as requested, create and label CDs/DVDs, and maintain a comprehensive understanding of the firm's privacy policy and encryption tools. Other responsibilities include answering telephones, arranging conference calls, video conferences, and live meetings, and preparing materials for mailing and overnight delivery. You will also coordinate travel arrangements through the Firm's travel department and prepare expense reimbursements as needed. In conjunction with the Records Department, you will assist with the organization and preparations of materials for storage and may participate in the organization and planning of events.
