Amundsen Davis, a full-service business law firm, is seeking an experienced Legal Secretary to join a strong team and an excellent firm culture! Candidates should have experience supporting legal teams in a sophisticated healthcare, transactional or business litigation practice. This position is integral to the smooth operation of the legal team, providing essential support in various legal processes and documentation. The firm prides itself on its entrepreneurial thinking that drives business decisions for its clients, and the Legal Secretary will play a crucial role in facilitating this process through effective communication and organization. The Legal Secretary will be responsible for preparing and editing discovery, exhibits, and other legal documents. This includes drafting, editing, and proofreading legal documents such as pleadings, contracts, agreements, and correspondence. The role also involves preparing and formatting documents according to legal standards and firm guidelines, assisting in the preparation of litigation and transactional documents, and managing attorney calendars. The successful candidate will ensure compliance with filing deadlines and requirements related to transactions while maintaining strict confidentiality of client information and sensitive legal matters. Qualified candidates will have at least 5-10 years of experience as a legal secretary and proficiency in Microsoft Word, Outlook, Excel, and document management systems. Knowledge of procedures and rules for filing documents in state and federal courts is required, along with the ability to communicate clearly and concisely with a solution-oriented approach. The firm values proactive, assertive individuals who can work independently and collaboratively with other legal assistants, paralegals, and attorneys to meet deadlines and provide excellent internal and external client service.

Responsibilities

  • Preparing and editing discovery, exhibits, and other legal documents.
  • Drafting, editing, and proofreading legal documents, including pleadings, contracts, agreements, and correspondence.
  • Preparing and formatting documents according to legal standards and firm guidelines.
  • Assisting in the preparation of litigation and transactional documents, such as closing binders and deal summaries.
  • Assisting in the opening of new client files.
  • Assisting in the review, edit and preparation of client billing.
  • Assisting in the preparation and filing of legal documents with government agencies and regulatory bodies.
  • Managing attorney calendars, scheduling meetings, and coordinating appointments related to transactions.
  • Organizing and maintaining documents and files, both electronically and in hard copy.
  • Handling phone calls, emails, and other correspondence related to transactional matters.
  • Ensuring compliance with filing deadlines and requirements related to transactions.
  • Maintaining strict confidentiality of client information and sensitive legal matters.

Requirements

  • At least 5-10 years of experience as a legal secretary.
  • Proficiency in Microsoft Word, Outlook, Excel, and document management systems.
  • Knowledge of procedures and rules for filing documents in state and federal courts.
  • Ability to communicate clearly and concisely with a solution-oriented approach.
  • Highly organized, resourceful, and detail-oriented.
  • Ability to work independently and collaboratively with other legal assistants, paralegals, and attorneys.
