About the position

The Manager - Software Asset Management at The Venetian Las Vegas is responsible for overseeing the management, monitoring, and control of software assets throughout their lifecycle. This role is crucial in maintaining an accurate asset register that serves various organizational needs, including tracking software licensing costs and facilitating effective security incident responses. The manager will collaborate closely with Systems, Identity and Access Management (IAM), Governance, Risk, and Compliance (GRC), and Legal departments to achieve the department's goals and objectives. All responsibilities must align with the policies, practices, and procedures of The Venetian Resort. Key responsibilities include maintaining an accurate asset register for different types of software licenses, ensuring proper assignment and updates of software licenses, and implementing controls to prevent unauthorized software installations. The manager will also be tasked with detecting and removing unauthorized and unused software periodically to ensure compliance and prevent overspending. Additionally, the role involves running periodic true-ups for enterprise software licenses from major vendors such as Microsoft, IBM, Oracle, and VMware, and collaborating with internal departments to respond to external audits from software manufacturers. The manager will define standard operating procedures and guidelines to meet regulatory, operational, and audit reporting requirements, contributing to the establishment of company standards related to software asset management. Proactive planning for end-of-life and end-of-support announcements from software manufacturers is also a critical aspect of this role. The manager will evaluate new software requests, liaise with Cyber Security and Legal for software use authorization, and coordinate with Endpoint Security for software deployment. The ability to manage multiple initiatives simultaneously is essential, as is consistent attendance and adherence to the company's standards of conduct.

Responsibilities

  • Maintain an accurate asset register for named user, concurrent user, and subscription software.
  • Ensure that software licenses are appropriately assigned, updated, and removed in the asset register.
  • Maintain an authorized software listing and implement controls to prohibit unauthorized software from being installed.
  • Detect and remove instances of unauthorized software on a periodic basis to enforce compliance.
  • Detect and remove instances of unused software on a periodic basis to prevent overspend.
  • Run enterprise software license periodic true-ups for Microsoft, IBM, Oracle, and VMware.
  • Collaborate with appropriate internal departments to respond to external audits from enterprise software manufacturers.
  • Define standard operating procedures and guidelines to meet regulatory, operational, and audit reporting requirements.
  • Be a key contributor to company standards related to software asset management.
  • Proactively plan for end-of-life and end-of-support announcements by software manufacturers.
  • Evaluate new software requests to include procurement cost, support, and delivery.
  • Liaise with Cyber Security and Legal to obtain software use authorization.
  • Coordinate with Endpoint Security to prepare and deploy software.
  • Engage in multiple initiatives simultaneously.
  • Act as a liaison between the business, technology teams, and support teams.

Requirements

  • Bachelor's degree in a relevant discipline or equivalent work experience.
  • 4 years of experience working in IT Asset Management.
  • Advanced proficiency in Microsoft Excel, intermediate proficiency with Word and PowerPoint.
  • Foundational knowledge of ITIL processes - Incident, Problem, Change Management, and Request Fulfillment.
  • Intermediate knowledge of ITIL processes related to Asset, Configuration Management, and Continuous Service Improvement (CSI).
  • Ability to work in both a team environment and independently.
  • Strong interpersonal skills with the ability to communicate effectively with guests and other team members of different backgrounds and levels of experience.

Nice-to-haves

  • IT Asset Management certifications: CAMP, CSAM, CHAMP, CITAD, CMAM preferred.
  • Experience using ServiceNow for IT Asset Management and/or Configuration Management recommended.
