About the position

We are seeking a detail-oriented and organized Referral & Scheduling Coordinator to join our team at the Arizona Heart Rhythm Center. This position is crucial in preventing patients from accidentally scheduling services, treatments, or other appointments with clinical specialists who are not approved by their insurance provider. The Referral & Insurance Coordinator will be responsible for authorizing insurance information and verifying patient eligibility. This role will establish and standardize systems and procedures for the distribution and use of health information throughout the organization, coordinating referral functions with all other departments. The ideal candidate will greet patients professionally both in person and on the phone, quickly answering and/or properly referring questions and issues. They will optimize provider schedules and patient satisfaction with efficient scheduling, work through incoming referrals thoroughly, and ensure the availability of treatment information by retrieving and updating patient records. A strong understanding of payer portals and the ability to locate patient benefit information is essential. The candidate will use the athenaOne platform to input patient copay/coinsurance details, navigate scheduling templates, and run reports to locate patient care gaps. Additionally, the Referral & Scheduling Coordinator will drive efficiency in processes through self-motivation and a focus on details. They will work in coordination with other members of the Physicians' Billing Office as necessary, report to work, meetings, and professional obligations on time, and participate in administrative staff meetings. The role also involves evaluating reports, decisions, and results of the department in relation to established goals, recommending new approaches, policies, and procedures to influence continuous improvements in the department's efficiency and services performed. The candidate will take ownership of special projects, research data, and follow through with detailed action plans, actively participating in problem identification and resolution, and coordinating resolutions between appropriate parties. Other related duties may be required and assigned, and adherence to Corporate, Department, and HR policies and procedures is expected.

Responsibilities

  • Greeting patients professionally both in person and on the phone.
  • Quickly answering and/or properly referring questions and issues.
  • Optimizing provider schedules and patient satisfaction with efficient scheduling.
  • Working incoming referrals thoroughly.
  • Ensuring availability of treatment information by retrieving and updating patient records.

  • Following HIPAA guidelines to ensure patient privacy and confidentiality.
  • Collaborating with other departments to ensure seamless patient care.
  • Assisting with billing and coding tasks as needed.

Requirements

  • High school diploma or GED completion is required.
  • 2 or more years as a medical office front desk receptionist and/or medical billing is required.
  • 1 year AthenaOne experience required.
  • Microsoft Outlook, Excel, and Teams experience required.
  • 2 years of insurance eligibility and verification experience required.
  • 2 years referral coordination required.
  • 2 years of patient scheduling optimization required.
