The Medical Office Manager at Longwood Medical Group is responsible for overseeing the daily operations of the medical facility, ensuring efficient workflows, and leading the administrative and clinical staff. This role requires a strong background in medical management, fiscal oversight, and compliance with healthcare regulations, with a focus on optimizing patient outcomes and staff productivity.

Responsibilities

  • Provide supervision and leadership to the administrative staff and non-physician clinical staff.
  • Maintain appropriate staffing levels and morale.
  • Hire, train, coach, and evaluate performance of direct reports.
  • Monitor employee productivity.
  • Ensure that workflows and processes are efficient to support staff and achieve patient satisfaction.
  • Enforce company policies and procedures consistently.
  • Oversee clinic billing processes to ensure timely payments from insurance companies.
  • Maintain cash controls and make bank deposits.
  • Monitor and maintain provider schedules.
  • Evaluate service quality and identify opportunities for process improvement.
  • Ensure compliance with OSHA, HIPAA, and other regulations.
  • Manage inventory of medical and office supplies, placing orders as needed.
  • Cross cover various administrative positions as needed.
  • Report payroll, pay bills, and maintain HR policies.

Requirements

  • 3-5 years of management experience in a medical office or higher position.
  • Excellent verbal and written communication skills.
  • Strong customer service skills and problem-solving abilities.
  • Organizational skills and effective time management.
  • Familiarity with medical terminology.
  • Proficient in EMR, Microsoft Word, and Excel.
  • Bilingual in Spanish and English.
