About the position

The Medical Receptionist at Hackensack Meridian Health plays a crucial role in providing reception and clerical services under the supervision of the practice manager and physician(s). This position is essential for ensuring that patients and visitors receive a warm welcome and efficient service. The Medical Receptionist is responsible for a variety of tasks that include managing patient communications, handling billing and collections, scheduling appointments, and maintaining patient records. The role requires a strong commitment to patient care and adherence to HIPAA guidelines, ensuring that all interactions are conducted with professionalism and confidentiality. In this position, the Medical Receptionist will greet patients and visitors promptly and courteously, making them feel welcome and valued. They will assist patients with the sign-in process, respond to their needs, and ensure that all necessary paperwork is completed accurately. The Medical Receptionist will also manage the patient check-in and check-out processes, verifying insurance eligibility, collecting copayments, and scheduling future appointments. Additionally, they will support the financial responsibilities of the practice by staying informed about reimbursement and billing procedures, preparing bank deposits, and maintaining accurate records of daily cash receipts. The Medical Receptionist will also be responsible for monitoring office supply inventory, managing patient records, and adapting their work schedule to meet the needs of the practice. This may include working additional hours as needed and being willing to travel to various locations within a 30-minute radius of their home. The role requires a strong sense of accountability, teamwork, and a dedication to ongoing education to ensure the highest quality of care for patients.

Responsibilities

  • Receives and directs all communication courteously and consistently, adhering to HIPAA guidelines and office policy.
  • Greets patients and visitors in a prompt, courteous, and helpful manner, making them feel welcome and important.
  • Assists patients with the sign-in process and responds promptly to their needs.
  • Supports financial responsibilities, including staying abreast of reimbursement and billing procedures, verifying information on the Audit Journal, preparing bank deposits, and signing and dating completed daily cash receipts.
  • Monitors general office supply inventory and equipment, notifying the Practice Manager when supplies are low and initiating orders for needed supplies and equipment.
  • Manages the patient check-in process, obtaining and verifying required demographic information, collecting copayments, and ensuring appropriate referrals are obtained.
  • Manages the patient check-out process, ensuring it is completed accurately and timely, including reviewing charge slips and scheduling future appointments.
  • Promotes patient satisfaction by providing excellent service and communicating potential issues to the direct manager.
  • Maintains an efficient and accurate filing and record maintenance system, assembling new patient folders and retrieving records as needed.
  • Adapts work schedule to meet the needs of the practice, working additional hours as requested and managing time effectively to prevent unapproved overtime.
  • Serves as a pre-loader for the EMR system and performs other duties/projects as assigned.
