About the position

The Medical Receptionist plays a crucial role in the outpatient health center in Apple Valley, focusing on providing high-quality customer service to patients. This position involves managing patient registrations, scheduling appointments, and ensuring smooth front office operations while working collaboratively with a diverse healthcare team. The role requires bilingual communication skills in English and Spanish to effectively serve the community, particularly those who are underserved.

Responsibilities

  • Graciously greets patients and visitors promptly and politely to the medical office and obtains all required information to register patients.
  • Ensures/assists patients in completing all forms and routes those forms to the appropriate personnel or department.
  • Inputs registration demographic and insurance information into the computer.
  • Reviews current registration information with patients, updating information as required.
  • Determines patient insurance eligibility and Primary Care Provider (PCP).
  • Assists patients in selecting a PCP if one has not been selected.
  • Reviews provider schedules in advance to ensure pre-registration of new patients.
  • Assembles and sends new patient packets, registration packets, and history physical forms prior to scheduled appointments.
  • Schedules patient visits per established procedures and is responsible for inclusion of all required ICD-10 codes for scheduling.
  • Confirms appointments, cancels appointments, and notifies clinical staff of appointment changes.
  • Discusses scheduling conflicts or problems with supervisors or clinical staff.
  • Provides schedule updates during the day.
  • Generates Bump/Wait Lists and reschedules patient appointments as needed.
  • Informs clinical personnel when patients have arrived virtually or in clinic; routes patients to appropriate clinical area.
  • Answers incoming telephone calls, routes calls as appropriate, or takes detailed, accurate, legible messages.
  • Communicates with answering service regarding office hours, covering provider, etc.
  • Handles prescription refill requests per established procedures.
  • Checks patients out at the end of visits, answering any patient questions including simple billing questions.
  • Reviews charge/encounter ticket for completeness and accuracy, obtaining missing information from clinical staff.
  • Arrives, cancels, and manages No Show appointments, preparing No Show Letters for physician signature.
  • Responsible for collection of outstanding balances as indicated on encounter ticket, determining total charges for visits and calculating patient financial responsibility per established policies and procedures.
  • Collects required copayments and payments (cash, check, credit card), issues receipts, and ensures cash is secure by following established procedures.
  • Balances cash drawer at the end of shift/day and ensures that billing information and collections are routed to appropriate personnel or department.
  • Assists in verifying and processing patient referrals, as needed, and assists with medical records requests and scanning documents, as needed.
  • Opens or closes the office as shift requires, ensuring that all doors are secured and equipment is turned on/off, communicating problems to supervisor in a timely manner.
  • Maintains front office workflows by following policies and procedures, reporting needed changes, and supporting team effort by accomplishing related results as needed.

Requirements

  • High School Graduate or GED.
  • One or more years of experience as a receptionist, preferably in an outpatient healthcare setting.
  • Knowledge of principles of outstanding customer service.
  • Ability to operate all general business equipment and assist the office with all clerical needs.
  • Knowledge of grammar, spelling, and medical terminology.
  • General knowledge of healthcare insurance and terminology.
  • Ability to sort and file by alphabet or terminal digit.
  • Ability to handle cash transactions and balance cash drawers.
  • Highly organized with strong time management skills, able to perform simultaneous tasks and prioritize tasks effectively.
  • Demonstrates the ability to read, write, and speak English and Spanish without an interpreter.
  • Demonstrates interpersonal/cultural sensitivity and works with a diverse and often underserved population.
  • Proficiency with EMR systems.

Nice-to-haves

  • Previous experience with computers and/or automated scheduling.
  • Prior experience preferred in handling and balancing cash.
