As a Medical Secretary, you will be responsible for a variety of administrative duties that are essential for maintaining an efficient healthcare environment. You will greet patients and visitors, manage phone calls, and provide information or direct inquiries to the appropriate resources. Your role will also involve registering patients for their visits, ensuring that all necessary paperwork is collected and processed accurately. This includes verifying demographic and insurance information, scheduling appointments, and maintaining medical records. In addition to patient registration and scheduling, you will perform routine clerical duties such as sorting and distributing office mail, faxing, and copying documents. You will also be responsible for maintaining an adequate inventory of office supplies and ensuring that office equipment is in good working order. The Medical Secretary will participate in performance improvement initiatives, demonstrating a commitment to quality improvement in daily operations. This position requires strong attention to detail, excellent communication skills, and the ability to work collaboratively within a team. Responsibilities

  • Greets patients and/or visitors and answers phone calls promptly, providing information or referring matters to appropriate resources.
  • Registers patients for each visit using a computer-based patient registration/scheduling system, obtaining necessary paperwork and collecting co-payments.
  • Verifies and updates demographic and insurance information for all patients, entering data into a computer-based system.
  • Schedules new and recurring visits with patients, recording daily schedules and charge code information into the patient scheduling/billing system.
  • Sets up medical records for new patients and treatments, ensuring completeness prior to initial visits and maintaining orderly medical records.
  • Maintains logs for requests for documents and prepares necessary reports and media.
  • Performs routine clerical duties such as sorting and distributing office mail, faxing, copying, and retrieving filed materials.
  • Ensures adequate inventory of office supplies and basic maintenance of office equipment.
  • Participates in performance improvement initiatives and demonstrates quality improvement in daily operations.

Requirements

  • High School diploma or equivalent required.
  • Specialized medical secretarial/medical office training preferred.
  • Minimum one (1) year of medical secretarial/administrative support experience required.
  • Proficient in MS Office applications required.
  • Knowledge of medical office practices and medical terminology required.
  • Good customer service and communication skills required.
  • Ability to use a computer-based patient scheduling/record/billing system required.
  • Strong attention to detail required.
  • Ability to read, write, and speak clearly in English required.
  • Current state driver's license for those required to drive to off-site locations.
