The Medical Secretary, Lead position at the University of Maryland St. Joseph Medical Center involves a multifaceted role that is crucial for the smooth operation of the medical office. This position requires a strong understanding of account and database maintenance, ensuring that all systems are functioning correctly and that any issues are promptly addressed. The lead medical secretary is responsible for maintaining complete and accurate accounts, which is essential for database integrity and timely claims processing. This role is pivotal in ensuring that the financial aspects of patient care are handled efficiently and accurately. In addition to account management, the Medical Secretary, Lead will have significant billing responsibilities. This includes collecting and batching physician encounter forms and hospital charge tickets, as well as checking for any missing charges by reviewing the daily schedule. The lead will also be responsible for batching daily work and sending it to the physician billing office, collecting co-payments, and scheduling follow-up tests and appointments as necessary. This aspect of the role is vital for maintaining the financial health of the practice and ensuring that patients receive timely and accurate billing information. Another key responsibility of this position is front desk oversight and training. The lead medical secretary will be cross-trained in all front-desk duties to provide coverage as needed. This includes assisting in the on-the-job training of new hires and existing staff, ensuring that all team members are well-equipped to handle their responsibilities effectively. The lead will play a crucial role in fostering a collaborative and efficient work environment. The position also involves facilitating an efficient and professional registration process in the primary care office. This includes obtaining demographic and financial information from patients during face-to-face registration, which is essential for appropriate reimbursement and statistical analysis. The lead medical secretary will ensure that the registration process is smooth and professional, contributing to a positive patient experience.

Responsibilities

  • Demonstrates an understanding of systems and can troubleshoot problems and issues.
  • Responsible for maintaining complete and accurate accounts to ensure database integrity and timely claims processing.
  • Collects and batches physician encounter forms and hospital charge tickets.
  • Checks for missing charges by reviewing daily schedule and batches daily work and sends to physician billing office.
  • Collects co-payments, schedules follow-up tests and appointments as appropriate.

Requirements

  • High School Diploma or GED (Required)
  • 2 - 4 years experience and knowledge of physician office/clinical care center routines and a basic understanding of the organization, medical procedures and terminology (Required)
