About the position

The Lemuel Shattuck Hospital, operated by the Massachusetts Department of Public Health (DPH), is seeking a Medical Services Coordinator. Join our team and play a vital role in ensuring the smooth and efficient operations of our credentialing office and Transitional Year Program. As the Medical Services Program Coordinator I, you'll provide crucial administrative support to our Chief Medical Officer, Medical Credentialing Office, TYP Program Directors, Director of Student Clerkship, Internal Medicine physicians, interns, residents, students, and office staff. Your dedication to timely, effective, and accurate medical administrative operations will make a significant impact on our academic and healthcare community.

Responsibilities

  • Assisting TYP Directors with candidate interviews, evaluations, and file management.
  • Maintaining program standards and environment of care.
  • Supporting the Medicine Credentialing office with recredentialing, certification, and provider enrollment.
  • Overseeing billing entries and clinician consultations in Meditech.
  • Organizing department conferences and activities.
  • Providing administrative support and creating reports, letters, and other documents.
  • Reviewing and distributing office mail, maintaining supplies, and assisting with workplace logistics.

Requirements

  • Knowledge of the principles and practices of behavioral techniques, planning, forecasting, organizational.
  • Develop charts, graphs, and tables.
  • Create general reports and documentation.
  • Apply and explain laws, regulations, policies, and procedures.
  • Analyze data to draw conclusions and recommend actions.
  • Gather information through record examination and interviews.
  • Organize and maintain accurate records, including electronic files.
  • Communicate effectively both orally and in writing; proficient in mass email.
  • Write clear, concise reports and develop ideas logically.
  • Follow and give precise oral and written instructions.
  • Build and maintain harmonious working relationships.
  • Adapt to changing situations and meet program requirements.
  • Exercise sound judgment and discretion with confidential information.

Nice-to-haves

  • Knowledge of unit-specific laws, regulations, policies, and procedures.
  • Familiarity with agency structure, functions, and forms.
  • Understanding of state personnel system regulations.
  • Proficiency in state purchasing and requisitioning procedures.
