Responsibilities

  • Project manage specific events, conferences and meetings.
  • Book any travel requirements incl flights, taxis, accommodation, hire cars, airport parking using Egencia system when necessary.
  • Manage company credit card for general office expenditure.
  • Coordinate office provisions, stationary.
  • Maintain weekly whereabouts records.
  • Take minutes at significant meetings.
  • Open and distribute morning post, frank outgoing post and arrange special mail.
  • Oversee upkeep of franking machine, photocopies and printer cartridge.
  • Oversee upkeep of visitors signing in book, tracking board and reception welcome screen.
  • Arrange and coordinate internal sports and social events, christmas party, hampers, leaving do's flower deliveries virtual events.
  • Archive confidentiality agreements and freezer loan agreements - hard and soft copy.
  • Look after visitors, colleagues from Novonesis and customers.
  • Coordinate with various service suppliers, plumbers, lift maintenance, electricians, cleaners, royal mail, security alarm, fire safety providers.
  • Coordinate caterers to provide lunches for sales meetings, seminars and visiting guests.

Requirements

  • Professional: Secretarial qualification, knowledge of outlook, email, word, excel etc.
  • Personal: Good communicator, efficient, personable and friendly.
