About the position

The Office of the New York State Comptroller is seeking an Office Assistant 2 for the NY HELPS program. This position involves reviewing complex confidential medical documents, separating and preparing them for scanning, and ensuring they are accurately identified and indexed. The role requires communication with examining staff to resolve issues regarding document identification and involves making payments for medical documentation using a state-issued procurement card. Additionally, the Office Assistant 2 will support Clerk 1 staff during busy periods, help train new staff, and answer questions related to the unit's operations.

Responsibilities

  • Separating, identifying and barcoding medical documentation.
  • Reviewing complex confidential medical documents submitted by members or their representatives.
  • Collaborating with Examining staff to resolve issues regarding document identification.
  • Making payments or pre-payments of invoices for medical documentation using a procurement card.
  • Supporting Clerk 1 clerical staff with incoming mail and scanning tasks.
  • Helping train Clerk 1 staff on various clerical duties.
  • Answering questions related to the unit from Clerk 1 staff.

Requirements

  • One year of clerical experience.
  • Currently reachable on the appropriate or eligible to transfer to this title under Section 70.1 of the Civil Service Law.
  • For 70.1 transfer, must have one year of permanent competitive or 55-b/55-c service in an approved title for transfer allocated to an SG-07 or above.

Nice-to-haves

  • Knowledge of agency policies and program policies, procedures and functions.
  • Ability to use office equipment such as computer terminals and photocopy equipment.
  • Ability to enter and retrieve data using an alphanumeric keyboard.
  • Ability to read, understand and apply laws, procedures, rules, regulations and guidelines.
  • Ability to perform tasks accurately within prescribed time frames.
  • Ability to communicate effectively in writing and orally.
