The position is non-exempt and requires working 190 days a year, with an 8-hour workday, under the supervision of the School Director. Welby Community School of the Arts is an Expeditionary Learning school that integrates the arts into its curriculum to inspire a love for learning among students. The school emphasizes a creative approach to education, where students engage in challenging and meaningful work, leading to enhanced academic success. The Office Clerk will play a vital role in supporting this mission by creating a friendly atmosphere and ensuring smooth operations within the school. The Office Clerk will be responsible for answering phones, greeting visitors, responding to inquiries, and assisting with registration and student attendance records. They will also handle communications with parents and staff, manage time and attendance documentation, and assist with various school activities, including fundraisers and parent coordination. The role may involve providing medical treatment when necessary and maintaining office equipment to ensure efficient operations. The ideal candidate will be able to multitask effectively in a fast-paced environment and support teachers and students as needed.

Responsibilities

  • Create a warm, friendly, collegial atmosphere prioritizing service to staff, students, and parents.
  • Answer the telephone and greet the public.
  • Respond to inquiries and direct staff or administration as needed.
  • Assist with registration procedures and maintaining student files.
  • Maintain student enrollment records, attendance records, and discipline records.
  • Manage parent communications, including flyers and newsletters.
  • Utilize technology for staff communications, such as newsletters and bulletins.
  • Document time and attendance, payroll, and manage the substitute line.
  • Process internal and external mail.
  • Enter work orders as needed.
  • Provide medical treatment for sick or injured students when the Health Aide is unavailable.
  • Assist with maintaining school purchase orders and materials inventory.
  • Support school fundraising activities and coordination of parent activities, volunteers, and committees.
  • Ensure efficient operation of office equipment, such as copy machines.
  • Maintain an orderly and professional office appearance.
  • Handle multiple tasks and situations simultaneously, even with interruptions.
  • Assist teachers with implementing lesson plans and maintaining classrooms as needed.
  • Support students in understanding and reinforcing skills in their native language, if applicable.
  • Assist with student health care needs, including administering first aid and medication.
  • Attend in-services, building meetings, training, and school functions as required.

Requirements

  • High school diploma or equivalent required.
  • Technical courses in computing and accounting preferred.
  • 1 year of office experience preferred.
  • Basic English, grammar, spelling, writing, and word processing skills required.
  • Basic computer skills and communication skills are necessary.
  • Operating knowledge of general office equipment preferred.
  • First Aid and CPR certifications may be required.

Nice-to-haves

  • Bilingual skills preferred for assisting students and parents.
  • Experience in a school environment is a plus.
