About the position

The Front Office Receptionist/Office Assistant position at a mid-town law firm in Tucson is a part-time role focused on providing clerical and administrative support. The ideal candidate will demonstrate strong organizational skills and effective communication abilities, ensuring exceptional service to clients and colleagues. This role may transition to full-time and involves supporting the office manager, lead paralegal, and attorneys as needed.

Responsibilities

  • Answer, screen, and transfer incoming phone calls.
  • Conduct brief interviews of potential clients and run conflict checks.
  • Welcome clients.
  • Help maintain the firm's internal filing system.
  • Respond to and resolve inquiries from clients, the office manager, and the attorneys.
  • Assist the office manager with monthly billing, copying, scanning, and mailing.
  • Maintain office-supply inventory.
  • Prepare communications to staff and vendors via email or internal messaging system.
  • Run errands when required (e.g., post office, bank, courthouse, etc.).
  • Perform other related duties as assigned.

Requirements

  • 2+ years receptionist/secretarial experience is preferred.
  • Must be able to receive a 'CLEARED' background check (required for courthouse clearance).
  • Experience working in a law firm or legal field is a plus.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer-service skills.
  • Proficiency in Microsoft Outlook, Microsoft Word, and related software.
  • Knowledge of QuickBooks is a plus but not required.
  • Excellent collaboration, organizational, and planning skills as well as attention to detail.
  • Ability to work independently.
  • Ability to be flexible with schedule.
  • Proficiency in the Spanish language is a plus.

Nice-to-haves

  • Experience working in a law firm or legal field is a plus.
  • Knowledge of QuickBooks is a plus but not required.
