About the position

The Poop Happens is seeking a dedicated Office Secretary - Assistant to join our team in Colorado Springs, CO. This role is essential for ensuring smooth operations within our office environment. The Office Secretary - Assistant will perform a variety of clerical, secretarial, and administrative tasks that are crucial for maintaining effective communication and organization within the company. The position offers two shifts: Shift 1 runs from Monday to Thursday, 7:00 AM to 12:00 PM, with every other Friday from 7:00 AM to 2:00 PM, while Shift 2 is from Monday to Thursday, 12:00 PM to 5:00 PM, also with every other Friday from 7:00 AM to 2:00 PM. In this role, you will be responsible for answering incoming calls and directing them to the appropriate individuals or departments. You will greet and assist visitors, ensuring they feel welcomed and informed. Additionally, you will handle the processing and sorting of all incoming and outgoing mail and packages, procure office supplies, and manage the distribution and stocking of these supplies as necessary. You will also notify the Property Manager of any building or maintenance requests and assist in managing crew routes and appointments. Other clerical duties may include photocopying, faxing, scanning, and filing as needed. The ideal candidate will possess strong communication skills, a customer/client focus, and the ability to work independently while also being a team player. This position does not have supervisory responsibilities, allowing you to focus on your clerical and administrative tasks in a professional office environment. The role requires proficiency in Microsoft Office, particularly Word and Excel, and a detail-oriented approach to work. You will be expected to navigate multiple computer screens and browsers quickly and accurately, continuously exceeding company and customer expectations.

Responsibilities

  • Answer incoming calls and direct the caller to the appropriate individual/department.
  • Greet and direct visitors to the company.
  • Process and sort all incoming and outgoing mail/packages.
  • Procure office and break room supplies and distribute/stock as necessary.
  • Notify Property Manager of any building/maintenance requests.
  • Manage crew routes and appointments.
  • Assist with other related clerical duties such as photocopying, faxing, scanning, and filing.
  • Perform other duties as assigned.

Requirements

  • Minimum of a High School diploma or equivalent (GED).
  • Proficient in Microsoft Office, including Microsoft Word and Microsoft Excel.
  • Detail-oriented, self-motivated, and a problem solver.
  • Ability to navigate multiple computer screens and browsers quickly and accurately.
  • Strong communication skills and a professional demeanor.

Nice-to-haves

  • Experience in a similar administrative role.
  • Familiarity with office equipment such as photocopiers and fax machines.
