About the position

The Office & Warehouse Operations Coordinator at ShipFlow Inc. is responsible for streamlining and supporting daily operations in both office and warehouse environments. This role focuses on maintaining efficient order processing, accurate record-keeping, and delivering excellent customer service. The ideal candidate will be tech-savvy, organized, and proactive in identifying and solving operational challenges, ensuring smooth collaboration between office and warehouse teams.

Responsibilities

  • Serve as a reliable resource for office staff and managers, assisting with scheduling, communications, and various administrative tasks.
  • Assist with order entry and creation, ensuring that all details are accurate and orders are processed promptly.
  • Maintain accurate and current records, including orders, inventory, and shipments, within our systems.
  • Track and manage office supply inventory, restocking as needed to ensure that office and warehouse staff have necessary resources.
  • Collaborate with warehouse staff to organize and prepare orders, ensuring that all packing and shipping tasks are completed accurately and efficiently.
  • Create and oversee daily and weekly schedules for warehouse operations, coordinating with the Warehouse Manager to meet delivery and shipping deadlines.
  • Support the maintenance of a clean, safe, and organized warehouse, including setting up systems to streamline order processing.
  • Assist the CFO with invoicing, payment tracking, and other financial tasks using QuickBooks and Excel.
  • Compile data to create regular reports on order status, inventory levels, and financial transactions.
  • Act as a main point of contact for warehouse brands and clients, handling inquiries regarding order status, inventory questions, and shipment details.

Requirements

  • High school diploma or equivalent required; additional education is a plus.
  • Proficiency in Windows, Microsoft Excel, and Word; experience with QuickBooks is a bonus.
  • Knowledge of Warehouse Management Systems (WMS) and order fulfillment processes.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills; able to communicate clearly with customers and internal teams.
  • Ability to prioritize tasks, work under pressure, and adapt to changing priorities.
  • Tech-savvy and able to learn new tools and software quickly.

Nice-to-haves

  • Experience in warehouse management or operations coordination.
  • Familiarity with financial data entry and invoicing processes.
