About the position

The Operations Administrator plays a crucial role in supporting the administrative functions of Noria Services, Sales, and Accounting. This position requires a detail-oriented individual who excels in customer service and organizational skills. The ideal candidate will assist in various tasks, including managing office supplies, coordinating meetings, and maintaining project records, all while contributing to a collaborative team environment.

Responsibilities

  • Assist with creating personalized welcome baskets for new hires, including ordering materials and making local store trips for personalized items.
  • Help with taking inventory of supply closets, placing orders, and distributing supplies as needed.
  • Manage shirt orders, coordinating with the embroiderer, and delivering to employees.
  • Assist with ordering gift cards, preparing birthday cards, updating calendars & SharePoint, and managing milestone anniversary requests.
  • Support keeping Services and OSHA portals up to date, creating policies, uploading necessary documents, and completing required training.
  • Determine time and schedule meetings for stakeholders, both internal and external.
  • Produce quotes for Noria services and training to be delivered to customers and reviewed by the sales staff.
  • Produce sales pipeline reports and other customized metrics for distribution to stakeholders using Noria's CRM.
  • Attend customer and internal meetings for awareness and contribution, providing notes and summaries afterwards.
  • Provide adequate information for customers to become vendors or suppliers to various companies.
  • Schedule kickoff meetings with customer and internal stakeholders to gather logistical and project-specific information.
  • Review archived project information and organize the archive to a standard style/format.
  • Help align the needs, expectations, and communication between different departments within Noria.
  • Aid in month-end project invoicing and PO administration.
  • Provide customers with log-in credentials to Noria's proprietary software.
  • Update and maintain a historical log of projects and customers performed by Noria.
  • Provide support to the technical team for administrative tasks such as producing copies, marketing mailers, scanning documents, and collating information.

Requirements

  • High school diploma or equivalent required.
  • 3-5 years of related experience preferred.
  • Experience with CRM software such as Hubspot and PandaDoc is preferred.
  • Medium to expert level skills in Microsoft Office programs such as Word, Excel, and Outlook.
  • Basic working knowledge of invoice and purchase order processing and procedures.
  • Knowledge of customer service principles and processes.

Nice-to-haves

  • Knowledge of project management processes is a plus.
  • Experience with AI tools and accounting platforms.
