About the position

The Operations Manager for the Graduate Programs Office at the University of Virginia is responsible for managing the administrative and financial infrastructure that supports various graduate programs, including PhD and MD/PhD programs. This role requires strong leadership and organizational skills to collaborate effectively with students, faculty, and staff, ensuring a supportive academic environment.

Responsibilities

  • Develop the staffing plan for the Graduate Program Office in collaboration with the Associate and Assistant Dean.
  • Manage a diverse administrative and fiscal team with independent deliverables for the operations of the four programs.
  • Lead the financial operations of the Graduate Programs Office, including developing and monitoring a $14 million budget and ensuring compliance with regulations.
  • Collaborate with the GPO staff to improve organizational infrastructure and develop updated SOPs for recurring activities.
  • Ensure compliance with legal, regulatory, and accreditation requirements.
  • Oversee continuous improvement of all GPO programs.
  • Assist the Associate Dean with special projects.

Requirements

  • Bachelor's Degree required; Master's degree preferred.
  • 5 years of relevant administrative experience.
  • Previous budget and staff management experience.
  • Administrative work in a medical education setting.
  • Familiarity with UVA and SOM programs/software (Workday, Oracle, Anaplan, VMED, Oasis, Box, Teams, etc.).
