This role can be based in Los Angeles. In this position, you will collaborate with team members and filing specialists to provide designated and “as needed” administrative services to assist in delivering exemplary service. Your responsibilities will include answering telephones and relaying messages, arranging conference calls, and managing various administrative tasks such as copying, scanning, faxing, and printing documents and attachments. You will prepare materials for mailing and overnight delivery, ensuring that all items are printed, assembled, copied, and delivered appropriately. Additionally, you will receive deliveries of items such as faxes, files, and boxes, routing them to the correct locations, and making conference room reservations as needed. You will also coordinate meals, multimedia, and other services as requested, and handle travel arrangements through the Firm's travel department. Your role will involve preparing expense reimbursements, arranging for payment of invoices, and preparing check requests as needed. General word processing tasks will be part of your duties, including creating, editing, and proofreading practice-specific legal documents, forms, and correspondence, ensuring accuracy and completeness. You will assist with the billing process, including editing prebills, generating reports, and sending out final invoices. In conjunction with the Records Department, you will assist with organizing and maintaining physical and electronic documents and files in a timely manner. You will create and maintain working files and binders as requested, utilizing Records Management to accurately store email messages and maintain and retrieve files. Your responsibilities will also include assisting with timenote entry, organizing and planning events, and collecting marketing materials. You will proactively communicate with practitioners for miscellaneous projects and additional assignments, and create and maintain partner Weekly Dockets while coordinating with numerous working/assisting attorneys/agents. You will process Conflict Checks and New Business Memos for new clients and general correspondence matters, as well as Audit Response Requests. Researching using patent resources/databases (i.e., PAIR, EFR, Inprotech) for patent-related information upon practitioner request will also be part of your role. Throughout your work, you will consistently promote and model the Firm's Client Service Principles in leadership, teamwork, work product, and personal interaction, ensuring compliance with the Firm's Information Handling Policy and adhering to the Firm's General Safety Practices.

Requirements

  • High School Diploma required.
  • Minimum of 3 years administrative experience.
  • Experience working in a professional services environment preferred.
  • Previous law firm experience desired.
  • Strong attention to detail and organizational skills.
  • Excellent teamwork skills and commitment to delivering results.
  • Client service orientation and effective communication skills.
  • Ability to multi-task, prioritize work, and meet deadlines.
  • Ability to work under pressure and complete assignments accurately and timely.
  • Proficient with Windows-based software including MS Word, PowerPoint, Excel, Outlook.
  • Proficient with patent-related databases and resources used by the firm.
  • Working knowledge of database and time tracking applications.
  • Typing speed of 45 wpm with high accuracy.
  • Flexibility regarding work schedule and availability to work overtime.
