About the position

The Pathology Medical Secretary plays a crucial role in the Department of Pathology by processing pathology reports and managing correspondence generated by the department. This position involves a variety of administrative tasks that ensure the efficient operation of the laboratory and the smooth flow of communications. The medical secretary will be responsible for specimen registration and accessioning, as well as the transcription of all pathology and autopsy reports. This role requires a high level of organization and attention to detail, as the medical secretary will also assist pathologists in preparing for educational conferences by researching pathologic histories, gathering slides, and assembling necessary information. In addition to these responsibilities, the medical secretary will provide support to cytotechnologists and histotechnologists in non-technical aspects of the department and assist hemotechnologists with bone marrow reporting. The position also involves sending pathology materials to other institutions for consultations, treatment referrals, and presentations at educational conferences, legal matters, and research studies. The medical secretary must adhere to all laboratory and hospital safety procedures and meet performance expectations related to customer service, teamwork, resource utilization, and self-development. Furthermore, the role includes assisting in the orientation of new co-workers and performing other duties as assigned to ensure the smooth operation of the department.

Responsibilities

  • Accessions and registers office specimens and transcribes all pathology and autopsy reports.
  • Assists pathologists in preparing for multiple educational conferences, including researching pathologic history and gathering slides.
  • Assists cytotechnologist and histotechnologists in all non-technical aspects of the department when needed.
  • Assists hemotechnologists concerning bone marrow reporting.
  • Sends pathology materials to other institutions for consultations, referrals, and presentations.
  • Follows all Laboratory and Hospital safety procedures.
  • Meets performance expectations for Customer Service, Teamwork, Resource Utilization, and Staff and Self-Development.
  • Assists in orientation of new co-workers.
  • Performs other duties as assigned or directed to ensure smooth operation of the department/unit.

Requirements

  • High school diploma or equivalent.
  • Secretarial school certificate or equivalent relevant experience.
  • Two to three years of administrative assistant experience.
  • Excellent customer relations and word processing skills.
  • Familiarity with other computer software.
  • Transcription experience preferred.
  • Medical Terminology required.
